Fourth Connect — Event Terms & Conditions for In-Person/Live Events – Delegates & Speakers

Fourth Connect — Event Terms & Conditions
Fourth Connect is an organiser brand operated by Red Swan Partners Limited. All bookings, invoices, payments and contractual arrangements are entered into with Red Swan Partners Limited. Fourth Connect is not a separate legal entity.

1. Definitions
“Organiser” means Red Swan Partners Limited, a company incorporated in England and Wales with company number 12016258, whose registered office is at 6 Deveraux Close, Beckenham, England, BR3 3GW, operating the Event under the organiser brand Fourth Connect, together with its authorised representatives.
“Fourth Connect” means the organiser brand under which the Event is presented and operated. Fourth Connect is not a separate legal entity.
“Delegate” means an individual registered or booked to attend an Event.
“Venue” means the location at which the Event is held.
“Event” means any gathering, conference, meeting or other event organised by Red Swan Partners Limited under the Fourth Connect brand.
Any reference to Fourth Connect on an Event website, booking form, communication or Event material is a reference to the organiser brand operated by Red Swan Partners Limited and does not create a separate contractual relationship with Fourth Connect.

2. Bookings and Payments
All bookings are subject to confirmation by the Organiser. As Fourth Connect Events are curated, submission of a registration or booking request does not automatically guarantee a place.
Unless otherwise agreed in writing, all Event fees must be paid in full by the payment date stated on the relevant invoice in order to guarantee registration.
Payments may be made using the payment methods stated on the invoice or payment request, including bank transfer or an approved online payment method.
All invoices are issued by, and all payments are made to, Red Swan Partners Limited.
The payer is responsible for any bank, currency-conversion or transmission charges associated with payment. No discounts or deductions may be made unless expressly agreed in writing or required by law. Any charges incorrectly passed to the Organiser may be reinvoiced.
VAT or other applicable taxes will be charged where required.

3. Special Rates and Offers
Any special rate, reduced fee or other offer is subject to the conditions stated in the relevant offer.
To qualify, registration and payment must be received within any deadline specified. Special rates cannot be combined unless expressly agreed in writing by the Organiser.

4. Substitutions and Cancellations
Because Fourth Connect Events are curated, a Delegate wishing to nominate another person from their organisation as a substitute must obtain the Organiser's prior approval.
A proposed substitute may be submitted up to 24 hours before the start of the Event. Approval will not be unreasonably withheld, but the Organiser reserves the right to decline a substitution where the proposed Delegate would materially alter the intended composition or purpose of the Event.
Where substitution is not possible, the following cancellation charges apply:
8 weeks or more before the Event: 30% of the applicable Delegate fee
Between 4 and 8 weeks before the Event: 75% of the applicable Delegate fee
4 weeks or less before the Event: 100% of the applicable Delegate fee
All substitutions and cancellations must be made in writing.
Where accommodation, transfers, activities or other third-party services have been arranged or committed to by the Organiser on behalf of a Delegate, any non-refundable or irrecoverable third-party costs may also remain payable.
Non-attendance without prior cancellation does not create a right to a refund.

5. Access and Other Requirements
Delegates should advise the Organiser as early as reasonably possible of any accessibility, mobility, dietary or other requirements relevant to their participation in the Event.
The Organiser will use reasonable efforts to accommodate notified requirements in cooperation with the Venue and relevant suppliers.
6. Event and Registration Information
Practical information relating to the Event, including timings, Venue information and relevant logistics, will normally be provided to registered Delegates before the Event.
Delegates who believe they have not received the necessary information should contact the Fourth Connect team.

7. Programme Changes, Cancellation, Postponement and Force Majeure
The Organiser reserves the right to make reasonable changes to the Event programme, timings, speakers, facilitators, activities, suppliers, Venue arrangements or other elements where necessary.
The Organiser does not guarantee the attendance of any particular speaker, participant, company or organisation.
If the Organiser cancels the entire Event for reasons within its reasonable control, Delegates will be entitled to a refund of Event fees paid in respect of the cancelled Event. The Organiser's liability in such circumstances will be limited to the amount paid by the Delegate to the Organiser.
Neither the Organiser nor the Delegate will be responsible for failure or delay caused by circumstances beyond their reasonable control, including severe weather, fire, flood, epidemic or pandemic, war, terrorism, industrial action, transport disruption, government action, legal restriction, Venue closure or material supplier failure resulting from such circumstances.
Where such circumstances occur, the Organiser may reasonably postpone, relocate or adapt the Event. Where an Event is postponed, the booking and fees paid will normally transfer to the replacement Event.
The Organiser will not be responsible for flights, accommodation booked independently, visas, internal costs, loss of earnings or other expenditure incurred by a Delegate as a result of an Event alteration, postponement or cancellation, except where liability cannot lawfully be excluded.

8. Speakers and Event Content
Views, opinions and statements expressed by speakers, facilitators, Delegates or other contributors are their own and do not necessarily represent those of Fourth Connect or Red Swan Partners Limited.
The Organiser does not accept responsibility for decisions made or actions taken by a Delegate in reliance on views, information or materials provided by speakers or other participants at an Event.

9. Confidentiality and the Chatham House Rule
Unless the Organiser expressly states otherwise for a particular session, Fourth Connect Events operate under the Chatham House Rule.
Delegates may use information received during discussions, but must not reveal the identity or affiliation of the person who provided that information, or of another participant, without permission.
Delegates must not record confidential sessions, publicly attribute remarks made during confidential discussions, or reproduce confidential Event discussions without permission.
Attendee information must not be used for bulk marketing, automated prospecting or unsolicited sales campaigns. Genuine individual follow-up and relationship-building between participants is permitted where appropriate.
The purpose of these requirements is to protect the candid and trusted nature of the conversations taking place at Fourth Connect Events.

10. Conduct
Delegates are expected to behave professionally and respectfully towards other participants, Event staff, Venue personnel and suppliers.
The Organiser reserves the right to refuse admission to, or remove from an Event, any person whose behaviour is materially unsafe, unlawful, discriminatory, disruptive, threatening or seriously inconsistent with the nature and principles of the Event.
Where a Delegate is removed because of serious misconduct or a material breach of these Terms, no refund will be due.

11. Photography, Filming and Recording
Photography and video recording may take place during Fourth Connect Events for the purpose of documenting the Event and producing Fourth Connect and Red Swan Partners Limited communications, including Event films, websites, social media, editorial material and future Event promotion.
Delegates who do not wish to appear in identifiable photography or video should notify the Organiser in writing before the Event. The Organiser will make reasonable efforts to accommodate such requests, although complete exclusion from incidental or background imagery cannot always be guaranteed.
Delegates may not record confidential Event sessions without the prior permission of the Organiser and, where appropriate, the participants concerned.

12. Data Protection and Attendee Information
Personal data supplied in connection with an Event will be processed by Red Swan Partners Limited, operating under the Fourth Connect brand, in accordance with applicable data-protection law and the Organiser's Privacy Policy.
Delegate information will be used as reasonably necessary to administer the Event, process bookings and payments, communicate Event information, manage logistics and provide the Event experience.
To support introductions and networking, an attendee list may be made available to other registered participants. Unless otherwise stated, this may include a Delegate's name, job title and organisation.
Personal contact information will not be included in an attendee list or provided to third parties for their independent marketing merely because an individual has registered for an Event, unless this has been clearly communicated and there is an appropriate lawful basis for doing so.
The Organiser may communicate with Delegates regarding relevant Fourth Connect or Red Swan Partners Limited activities where permitted by applicable law. Delegates may object to or opt out of direct marketing communications at any time.
Further information about how personal information is collected, used, retained and shared is available in the Organiser's Privacy Policy.

13. Websites and External Links
Fourth Connect websites and Event communications may contain links to third-party websites, venues, booking platforms or other services for the convenience of Delegates.
Those websites and services are operated by their respective owners. The Organiser is not responsible for their content, availability, security or privacy practices.

14. Insurance and Personal Property
Delegates are responsible for arranging appropriate travel, health and other insurance in connection with their attendance at an Event.
Delegates remain responsible for their own personal possessions while attending an Event.
Subject to applicable law, the Organiser will not be responsible for loss of or damage to personal property except to the extent that such loss or damage results from the Organiser's negligence or where liability cannot lawfully be excluded.

15. Legal Entity and Responsibility

The party responsible for providing the Event and entering into the booking contract with each Delegate is:

The courts of England and Wales will have jurisdiction in relation to disputes arising from these Terms, subject to any mandatory legal rights that apply.
